Once a librarian, Roger Rutkowski has charted an unconventional path to attain the position of Head of Legal Operations at Mercedes-Benz USA (MBUSA). Roger transitioned into legal operations and, in a short time, has built a solid reputation for himself in this competitive space. As Head of Legal Operations, Roger is spearheading initiatives to modernize legal processes, implement legal tech solutions, and optimize contract lifecycle management. In 2022, he was given the responsibility of forming a new Legal Operations Team for MBUSA. For him, this was a “significant opportunity,” as it offered him the chance to build a team of “driven and ambitious professionals” from the ground up. “It marked the first major restructuring of the Legal Department in many years and presented an opportunity to implement strategic, impactful changes,” Roger says. His strategies led to the shaping of a “more efficient” and “forward-thinking” legal operations framework within the organization. Roger is specifically proud of this milestone and sees it as a major achievement of his career.

Roger currently also serves as the Vice Chairman of Lost-n-Found Youth, an Atlanta-based nonprofit that aims to end homelessness among Atlanta LGBTQ+ Youth.

Professional Journey: From Librarianship to Heading Legal Operations

Roger’s path to his current position as Head of Legal Operations has not been linear. He comes from a librarianship, records management, information governance, and data protection background. In 2001, he began his professional journey as a Reference Librarian at the College of Law in London, U.K. Roger was drawn to “optimizing processes and finding strategic solutions to complex challenges” because of his background in librarianship and record management.

In a career spanning more than two decades, Roger has worked in diverse sectors, including luxury travel, property development, and automotive. “My work in these sectors has honed my ability to manage contracts, litigation, information governance, and compliance with precision,” he shares.

Although he didn’t transition to legal operations early in his career, Roger’s role as Head of Information Governance at The British Land Company reporting to the General Counsel was almost identical to any modern legal operations role. His journey into legal operations was driven by a “passion for efficiency, structure, and the intersection of law, business, and community.”

Currently, as Head of Legal Operations at Mercedes-Benz USA, Roger is committed to transforming legal functions through technology, process improvement, and business-oriented strategies. What inspired him the most to join Mercedes-Benz USA was the opportunity to “bridge the gap between legal and business teams,” he says. Roger explains that this ensures that legal departments function not just as support units but as strategic partners.

“The ability to drive efficiency, create meaningful change, and champion diversity within corporate legal environments continues to fuel my passion for this field,” he adds.

Transitioning to Legal Operations from Records Management

When Roger became a record management professional, following his stint as a librarian, his initial focus was on managing physical records, ensuring compliance, and creating standardized systems. But, as the business landscape evolved, so did his approach. Roger recalls that he recognized the increasing overlap between records management and legal compliance, particularly with regulations like GDPR, a European Union regulation on information privacy.

“In my career, I focused on aligning records practices with broader organizational goals,” Roger says. “Implementing systems to improve workflow automation, efficiency, and data-driven decision-making became a priority.” Transparency, accountability, and strategic decision-making shone through in whatever work he did. All these traits are essential for both records management and legal operations. Roger says, “So, transitioning into legal operations felt natural, as it builds on the same principles of organization, compliance, and strategic alignment.”

“At Mercedes-Benz USA, I manage areas such as matter management, contract lifecycle management, e-discovery, and governance, which all draw on my records management expertise,” he adds.

The role of technology in Roger’s transition from records management to legal operations cannot be overlooked. He notes that tools like automated workflows, data analytics, and collaboration platforms have bridged the gap between records and legal teams. It has demonstrated the strategic importance of organized information, in addition to improving efficiency.

It is usually assumed that the role of record managers is purely administrative. To overcome this perception, Roger gained expertise in budget management, technology implementation, and leadership. “Building credibility and fostering cross-functional collaboration were key to creating a more integrated approach,” he says.

Roger’s success demonstrates that records management professionals can become excellent strategic partners within their organizations. “By embracing technology, expanding their skill sets, and aligning their work with broader business goals, they can drive meaningful change,” he says.

It has allowed him to refine his expertise in legal operations, compliance, and strategic business alignment. “My role has provided invaluable experience in managing complex litigation discovery matters, corporate governance, and contract lifecycle management issues in a dynamic global company,” Roger shares. Additionally, leading legal operations at MBUSA has reinforced his ability to navigate corporate structures, drive efficiency, and champion initiatives within the organization.

The Next Five Years: Priorities for Legal Operations

Automation and digitization are the two key areas that the Mercedes-Benz USA Legal Operations Team intends to focus on over the next five years. They expect that it will lead to improved efficiency, compliance, and cost-effectiveness. The implementation/ reconfiguration of AI-supported matter and contract lifecycle management (CLM) is a top priority, according to Roger. He points out that technology will help streamline legal workflows, support contract review, and integrate legal processes with procurement and finance.

“AI tools will help accelerate contract negotiations, improve compliance, and reduce manual oversight,” he adds.

Additionally, Roger believes that data analytics and predictive insights are set to become an integral part of data-driven decision-making. According to him, AI-powered document automation will further streamline legal operations by automating routine tasks for attorneys in their work with contracts, NDAs, and supplier agreements. Consistency and efficiency will be ensured because of this, he says. Also, he believes that AI-driven document review will improve accuracy and reduce legal bottlenecks.

Roger foresees a future where better digital collaboration and knowledge management will become crucial for his organization. “Integration with cross-functional teams through collaborative legal tech tools will enhance workflow efficiencies,” he adds. “AI-driven chatbots will also handle routine legal queries, allowing the legal team to focus on complex matters.”

With automation, AI, and data-driven insights, he and his MBUSA Legal Operations team intend to reduce costs, mitigate risks, and enhance overall legal service delivery, which aligns with Mercedes-Benz USA’s broader digital transformation strategy.

Collaboration with Important Stakeholders

Roger understands the importance of effective collaboration with general counsels, executives, and other stakeholders. He views it as “pivotal” for the success of legal projects and initiatives. Roger believes in starting the collaboration process by building strong relationships founded on trust and open communication. “Regular meetings and transparent interactions help foster mutual understanding and goal alignment,” he says. “Understanding stakeholders’ priorities and pain points enables one to tailor projects to meet their objectives.”

For better collaboration, he considers the needs of the stakeholders, and to determine that, he engages with stakeholders early in the planning process. This creates a collaborative decision-making environment, Roger explains.

Misunderstandings are common during engagement with stakeholders. According to Roger, they can be avoided by clearly defining project objectives, roles, and expectations. He also uses technology, such as project management tools and cloud-based document-sharing platforms to facilitate seamless collaboration and real-time updates.

Roger also highlights that providing regular status reports and establishing feedback loops are crucial for keeping everyone informed. In addition to that, they also allow for timely adjustments based on input. “Also, adopting a proactive problem-solving approach helps anticipate challenges and address issues promptly through collaborative solutions,” Roger says.

And he makes it a point to celebrate successes by acknowledging stakeholders’ contributions. He makes sure to share project achievements, highlighting how collective efforts led to success. “Through strong relationships, effective communication, goal alignment, strategic use of technology, regular updates, and recognition of contributions,” Roger says, “one can drive the success of one’s legal projects and initiatives.”

Role of Public Speaking in Career

Roger is regularly invited to events related to Lost-n-Found Youth and Mercedes-Benz USA as a public speaker. In addition to making him more visible in the corporate world, the public speaking engagements have also elevated his leadership presence and ability to drive impact.

“Through my involvement with Lost-n-Found Youth, I use public speaking to advocate for homeless LGBTQ+ youth, bringing attention to critical issues such as housing instability, discrimination, and the importance of community support,” he says. The platform of Lost-n-Found Youth has positioned Roger as a thought leader in the nonprofit space. It has strengthened his network with other advocates, policymakers, and donors, along with improving his ability to craft persuasive narratives. According to Roger, crafting persuasive messages is an essential skill that extends beyond advocacy into his corporate role.

As Head of Legal Operations at Mercedes-Benz USA, his speaking engagements are for the LGBTQ+ affinity group, Legal as a Business, or diversity initiatives. At these engagements, Roger showcases his expertise in legal operations and community. “By addressing both internal and external audiences,” he points out, “I have reinforced my role as a strategic thinker who not only understands the technical aspects of legal and operational management but also the human side of leadership.”

By stepping onto the stage as a public speaker, Roger has solidified his credibility. He is now seen as a “go-to expert” within the company for legal operations and community initiatives. Additionally, public speaking has honed his ability to engage with diverse audiences and handle Q&A sessions with confidence. It has refined his executive presence, expanded his professional reach, and made him more influential as well.

“Public speaking has likely played a role in positioning me for leadership recognition, such as community leader awards and other community accolades,” Roger points out. He believes that his experience with public speaking has provided him opportunities to bridge the gap between corporate leadership and community engagement. This has enhanced both his career trajectory and personal mission, according to Roger.

Balancing Two Leadership Roles

Both the roles of Head of Legal Operations at Mercedes-Benz USA and Vice Chairman of Lost-n-Found Youth (LNFY) are demanding. Roger maintains a balance between these roles through prioritization, effective time management, and strategic integration. According to him, he plans his week, dedicates blocks of time for LNFY – primarily weekends and evenings – and looks for synergies between his roles to maximize impact.

He is able to meet all his responsibilities without any issues because of his approach that involves delegation of tasks, maintaining clear communication, and setting boundaries. “Also, regular self-care and continuous evaluation help ensure productivity and balance across my commitments,” Roger points out.

Message to Aspiring Legal Operations Professionals

“You must develop a robust skill set in legal and business areas” is Roger’s first piece of advice to aspiring legal operations professionals. He also encourages them to embrace technology and continually improve processes using Lean and Agile methodologies. Additionally, he points out that building strong cross-functional relationships, effectively communicating complex legal concepts, and advocating for legal operations are crucial aspects of their profession.

In his message, he underscores the importance of continued professional development, adaptability, resilience, and maintaining high ethical standards. “By concentrating on these areas,” he says, “professionals can significantly impact their organizations and advance their careers.”
